Celebrationhub ("we", "us", "our") operates this CelebrationHub installation to help [your organization/group] celebrate its members' birthdays, anniversaries, and other milestones. This policy explains what information we collect through the app, why we collect it, and what choices you have.
1. Information We Collect
a. Administrator & organization information
When someone creates a group on this app, we collect the organization's name and, if provided, its type and country, along with the administrator's full name, email address, phone number (if given), and a securely hashed password. We never store passwords in plain text.
b. Member (celebrant) information
For each person added to a group's celebration list, we collect their name, birthday and/or anniversary date, and — if provided — a photo, phone number, email address, preferred greeting, and any notes the admin adds. Members can be added by an administrator or, where a group has enabled it, by the members themselves through a shared registration link or QR code.
c. Celebration Wall contributions
Anyone with a link to a celebrant's Celebration Wall can leave a message, photo, voice recording, or video recording for that person. These contributions are visible to other people with the same link, and are compiled into a keepsake PDF and, where requested, a video slideshow for the celebrant.
d. Communications data
To send birthday and anniversary greetings, we process the contact details above through the messaging channels a group has configured — see "Third-Party Services" below. We keep a delivery log (recipient, channel, status, and timestamp) so administrators can see what was sent and troubleshoot failures.
e. Generated content
The app automatically generates celebration cards, PDF keepsakes, and (optionally) video slideshows. These files are generated from the member and contribution data above and are stored on this installation's server so they can be re-downloaded or re-sent later.
2. How We Use Information
We use the information collected solely to operate the celebration features described above: identifying upcoming birthdays and anniversaries, generating and sending greetings and cards, running the Celebration Wall, and giving administrators visibility into delivery activity. We do not sell personal information, and we do not use it for advertising.
3. Third-Party Services
Depending on how this installation is configured, the following third-party services may process data on our behalf, strictly to deliver the features below:
- SMS delivery (e.g. Twilio) — processes recipient phone numbers and message text to send SMS greetings, if SMS is configured.
- Email delivery (e.g. Brevo, or another SMTP provider) — processes recipient email addresses and message content to send email greetings and celebration board notifications, if email is configured.
- AI message assistance (e.g. OpenAI or Groq) — if enabled, may process message template text to suggest rewrites in a different tone. Member personal data is not intentionally included in these requests beyond what an administrator has typed into a template.
Each of these providers has its own privacy policy governing how it handles data passed to it; we encourage you to review theirs as well.
4. Data Storage & Security
Data for this installation is stored on secured server. We take reasonable technical measures to protect it — including password hashing and access-controlled admin accounts — but no method of storage or transmission is completely secure, and we cannot guarantee absolute security.
5. Data Retention
We retain member and celebration data for as long as an organization's group remains active on this installation, or until an administrator deletes it. Delivery logs and generated celebration files are retained to allow re-sending and record-keeping, and can be deleted on request.
6. Your Rights
Depending on where you live, you may have the right to access, correct, or delete personal information held about you, or to object to certain processing. If you are a member of a group using this app and want to exercise these rights, please contact that group's administrator directly, or reach us at hello.celebrationhub@gmail.com.
7. Children's Information
This app may be used to celebrate the birthdays of minors (for example, children of an organization's members). Where a minor's information is added, it is the responsibility of the administrator or parent/guardian adding it to ensure they have the appropriate authority and consent to do so.
8. Changes to This Policy
We may update this policy from time to time. If we make material changes, we will update the "last updated" date above.
